At the heart of the Schools & Colleges Fee Billing suite is the EnterpriseMRM membership software and contacts system. This core database provides extensive functionality for the tracking and profiling of your pupil, parent and fee-paying contact records, capacity for dealing with unlimited fees, sales transactions and financial management and extensive reporting capabilities.
Utilising a batch fee processing system all of your fees may be built up from different sources over a period of time and produced on a consolidated invoice. Various stages are available to enable checking and approving of the fees prior to committing.
Additionally, optional modules are available that fully integrate with the core database to provide one centralised data store whilst providing the capacity to book events and effectively manage facilities.
Ultimately, all transactions generated across the suite can be automatically updated to your Sage software or Pegasus accounting system. Using industry standard accounting packages rather than sector specific solutions aiming to provide all functions can have significant benefits in support and training areas too.

Membership Software for Event Management
Many organisations have a need to organise events and meetings for their membership base and beyond. With the optional Event Management software, this may be integrated with your Enterprise database in order to maintain the philosophy of one central storage database.
Integrating directly using the same user accounts as Enterprise, Events may be configured with some of these following options.
Unlimited events may be configured
Events may contain a single session or be split into numerous for pricing, available space or both
Unlimited price lists with automatic selection based on dates e.g. "early bird" pricing
Extensive user defined fields for event specific recording of booking data
Table allocation for dinners and speeches etc
Seating allocation for theatre type events
Copy event facility to avoid the complete recreation of similar events
Once created, bookings are added to events and the source data can be searched directly from the Enterprise membership database to bring through names, addresses and key record status information (such as being a current member for the purpose of benefiting from say a members special rate).
Once a booking is created, delegates are added to that booking and may be one of the following three types.
Directly retrieved from the Enterprise database
Named as a one-off against the booking on that event (for example, spouse details that may not be required to be stored within the membership database)
Anonymous i.e. one delegate and 3 guests
New records may be added to the Enterprise database directly from the Event Management system thus providing marketing opportunities to turn delegates into potential members.
Some of the other booking features are:
Event attendance is automatically recorded against records within Enterprise providing a detailed history of your members' activities
Invoicing and receipting is handled directly from Event Manager with a direct link to the transaction history of the member or delegate record providing one central area where all financial dealings are recorded
Separation of the person making the booking and the delegates or a simple system of making the booker also an attending delegate
Ad-hoc pricing capability

Extensive booking or delegate notes
Process monetary receipts at the point of booking creation
The transactions generated by Event Manager are recorded directly in the transaction file of Enterprise and will ultimately be posted to your accounting system during the next batch update.
An overview function provides the following capabilities:
Event Summary of provisional, confirmed and cancelled delegates together with income totals
Table and seating allocation from bookings made
Session attendance summaries
From the overview, the amendment of an existing booking is a double-click of the mouse away and new bookings may be added if required.
Costs incurred may also be recorded against individual events in order to produce an income and expenditure summary on an event-by-event basis or for multiple events if required to ensure that your Events are not running at a defecit.
Membership Software for Facilities Booking
Scheduling Resources with Confidence
Our Membership Software Facility Booking System is a recent addition to the EnterpriseMRM family of products. The software has been designed in house to fully integrate with the Membership and Contact Database and to provide maximum flexibility in the range and type of facilities that may be booked.
The membership software may be used to plan, book and invoice any number of resources with diverse requirements. This enables an organisation to have a centralised booking system for all relevant staff. The software is suitable for managing conference and meeting rooms, sports facilities, staff or any other facilties.
The facilities are displayed on an easy to use graphical grid with colour coding of booking types and active tool tips to provide an instant status of any booking.
Facilities
Facility Groups may be configured that create buttons on the toolbar for ease of access
Any number of facilities may then be added to a group so that they are displayed together
A separate timetable can be created for each facility group enabling different booking slots from a few minutes each to a full day
The size of the rows and columns within the screen display may also be defined for each Facility Group
Colours can be defined for each type of booking to provide more infromative views
Users may only access Facility Groups if they have the rights to do so. Rights can include View Only.
Booking Types
Any number of Booking Types can be created which define the Booking Rules for a facility
Pricing is defined by Booking Type including to attendee level to accomodate courses and classes
Maximum class sizes can be stipulated if required
A Booking Type can define the minimum and maximum duration as well as account for 'setting up' and 'packing away' time
Each Booking Type can have its own colour defined for ease of identification
For every Booking Type the number and type of facilities required can be defined. This ensures that the software will verify that all required facilities are available before a booking can take place
For every Booking Type a list of questions can be specified to gather the information required to process the booking and for future marketing purposes
The information that is displayed on the Booking Grid can be determined as can the information that is displayed on the tool-tip when the cursor is over a booking. This ensure that critical information is immediately available
Screens that are not required for a specific booking type can be turned off making the booking process as quick as possible

An easy to read booking grid forms the basis of the EnterpriseMRM Facility Booking System
Bookings are made by a simple point and click on an available slot within the grid
Fast jump keys are available to move time or days/weeks as well as to find the next available time
An interactive calendar is available allowing you to easily jump to any day in the next three months, with a 'Go To' function for dates beyond that
A printed schedule for the Facility Group is available at the touch of a button
Bookings
A simple click on an available booking slot will bring up the booking form for completion
An existing member or previous visitor can be quickly selected from the EnterpriseMRM database
New visitor details can be captured and added to the database and use for future marketing purposes
Any questions defined in the Booking Type are displayed for completion
Notes may also be made against a booking
Charges can also be calculated automatically
A function timetable can be completed where required
Different Booking Statuses can be defined
Bookings can be repeated over any time frame including student term times
Finance
As a booking is completed, the charges (if any) are automatically calculated based on the Booking Type and the status of the person booking
Charges may be output to the Paypoint till software or an invoice can be produced if required
Consolidated or frequent invoice runs can be undertaken for account customers or advance payers posting to the sales ledger within EnterpriseMRM
Reporting
A wide range of reports are provided as standard within the system
All reports are capable of being easily modified to your exact requirements
New reports can be designed and added to the Reports menu
