Sales Support Administrator

Job Purpose 

Support & enable Sales Lead & Sales Team efficiency through effective Administration, Governance, Process Monitoring & Adherence, Revenue & Cash Assurance, Bespoke Reporting & active collaboration with the wider business. Demonstrate real commercial value to TSG. 

Job Dimensions 

Report to Sales Lead & provide direct support to the Sales Lead & Sales Team to maximise their available sales time thereby ensuring improved Customer Experience.  Demonstrate the high energy engagement needed to motivate & continually re-focus the sales team on the key aspects of Governance, Process Adherence, CRM Quality & support Sales Opportunity (lead) generation & follow up.  Drive a culture of continuous improvement. 

Duties and Responsibilities 

Management Reporting - Provide management reporting as required (CRM, Excel, Etc.) to improve efficiency & productivity. 

CRM Custodian - Act as CRM custodian undertaking active auditing of CRM quality to specified guidelines to manage and ensure content & data accuracy. 

Risk Management - Responsible for managing and monitoring the “at risk” accounts and ensure active follow-up by sales team and other required departments - place customer issues correctly in Sharepoint. 

Debt Management - Responsible for being the key liaison point with the Customer Advisor Team (CAT) for  customer Debt escalations. 

Call out Days - Co-ordination of call out days. Provide Data analysis to support segmentation for call out days.  Work with marketing and the sales team to prepare the email lists and calling lists for each campaign. Ensure the campaign briefing notes are available to all in advance of call out days.  Provide campaign tracking & reporting at a sales lead level to ensure focus and compliance. 

Sales Efficiency - Be an expert in TSG sales processes providing guidance and support to the sales team & ensuring adherence.  Act as CRM expert offering guidance and support to team as well as in-office ‘hands-on’ input supporting mobility of the sales team when necessary.  Train & coach users in effective adoption of CRM where necessary to ensure quality input throughout the sales team. Take a lead role in the organizing, planning and scheduling of customer events including collaboration with marketing where event is represented within campaign calendar schedule. 

Sales Admin Support - Provide diary management to Sales Lead, scheduling & organizing to maximize time management & availability.  Coordination of individual & wider team diaries & schedule meetings as required. Monitor holidays & absence management in support of the Sales Lead. Support CRM Change Control in concert with the Head of Sales Operations.  Ensure all Contract Upgrades / Contract Addendums & Changes are processed in line with requirements.  Manage the Support-On-Hold process. 

Customer Experience - Assist the Business in giving our Customers an excellent Customer Experience through being the customer contact and escalation point and link into CAT for all escalations. Carry out outbound customer experience calls to test customer satisfaction independently and provide a regional score; input any generic challenges to the Sales lead and / or CAT.  Provide “Out of Office” cover for sales team and act as point of contact for customers. 

General Administration and Support - Play a pivotal role in the planning, scheduling and execution of weekly and monthly sales calls and meetings respectively.  Provide office presence to enable and reflect the mobile nature of the Sales Lead and team roles through administrative support.  Undertake such General Administration & Office Management tasks as may be necessary & support the Induction of new staff as required.

  • Educated to level conducive to role demands. 

Your skills & knowledge 

  • Advanced knowledge of Excel & ability to export and manipulate data for purposes of reporting.
  • Understanding of TSG product suite & competence in managing CRM, SharePoint & other MI Tools.
  • Clear awareness and appreciation of the sales process to enable the effective coaching and management of TSG internal CRM and Sales Pipeline management.
  • Excellent listening, verbal and written communication skills & excellent organizational skills.
  • Excellent attention to detail & ability to build rapport & good working relationships with the Sales Team.
  • Able to adapt and embrace change. Proactive and highly organized with strong time management and planning skills and proven ability to multi-task. 

Your experience 

  • Min 3 years’ experience in a Sales administration role.
